An absence is a hard block on an employee's availability in bookU Staffing. When an employee has an absence, they cannot be matched to or assigned to any shift that overlaps with the absence period, with no override.
How an absence is created
Absences in bookU Staffing are registered in the Employees planning view. Absences can also be supplied from external systems via the API; absences created this way are read-only and cannot be edited or deleted by planners.
Effect on shift assignment
An absence in bookU Staffing directly affects how an employee appears in the planning. In Project planning and All shifts, employees with an active absence do not appear in the list of available employees for shifts that overlap with the absence period. In Employees planning, a shift created for an employee who already has an absence on that date shows a conflict, since the employee cannot be assigned to a shift that overlaps with the absence. In the Marketplace, employees do not see shifts that overlap with their absence, and applications for overlapping shifts are blocked.
An absence overlaps with a shift when there is at least 1 minute of overlap between the two periods. An absence and a shift that share only a boundary — for example, an absence ending at 09:00 and a shift starting at 09:00 — do not overlap.
Effect on invitations
When an absence is created in bookU Staffing, any open invitations for the employee that overlap with the absence period are automatically made obsolete. If the absence is later removed, the employee becomes eligible for new invitations again.
Effect on hours
When a value is entered in the Hours deducted field on an absence, those hours are deducted from the employee's Remaining hours in bookU Staffing. This is visible on the employee card in the Employees planning view, where the progress bar shows the deducted absence hours as a red segment.
Absence types
When registering an absence in bookU Staffing, you select one of the following types: Medical leave, Holiday, Overtime, or Other.
Absence period
An absence in bookU Staffing can cover one or more days. When registering an absence, you can set it as an all-day absence or specify a start time and end time for a partial day. Absences are displayed as a red bar in the Employees planning view, spanning the full duration of the absence period.
